This policy explains how Hamilton Marketing Group Limited ("HMG", "we", "us") collects and uses personal information when you visit our website or apply to join our team as a Brand Ambassador. We keep it short and in plain English.

Who we are

We are the "data controller" for the information you give us, which means we decide how it's used and we're responsible for looking after it.

What we collect

When you apply through our website, we collect:

• Your name, email address and mobile number
• Anything you choose to tell us about yourself in the message box
• Your CV, if you upload one
• Your confirmation that you're 18 or over

As your application progresses, we may also keep notes from your calls and presentation, and details of any appointments we book with you.

How we use it

• To review your application and contact you about the role
• To book you into a presentation and any follow-up calls
• To check you meet the basic requirements for the role
• If you join us, to set you up as a self-employed Brand Ambassador

We never sell your information, and we never use it to market unrelated products to you.

Our legal basis

We use your information because it's in our legitimate interests to recruit people to our team, and because you've asked us to consider you for a role, which means we need to take steps before entering into an agreement with you.

Who we share it with

Only people in our team who are involved in recruitment can see your application. We also use a small number of trusted service providers to run our website, receive form submissions, send emails and texts, and host online presentations. They only process your information on our instructions and are required to keep it secure.

Some of these providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, as UK data protection law requires.

A member of our team always reviews applications. We don't make decisions about you based only on automated processing.

How long we keep it

If your application doesn't go ahead, we delete your details within 6 months. If you join the team, we keep the information we need for as long as you work with us, and for a reasonable period afterwards to meet our legal and accounting obligations.

Your rights

Under UK data protection law, you can ask us to:

• Give you a copy of the information we hold about you
• Correct anything that's wrong
• Delete your information
• Stop or limit how we use it, or object to us using it
• Send your information to you or another organisation in a usable format

Cookies

Our website doesn't use advertising or tracking cookies. Any essential technical cookies used by our hosting provider are only there to make the site work.

Complaints

If you're unhappy with how we've handled your information, please talk to us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
